Relax.

First of all, relax. You have been chosen by God for the role of Main Evangelizer for a very special reason. It was truly the Holy Spirit. He believes you can do it and He has given you all the skills it takes to make this happen. Keep focused on what you need to do each month, not getting too far ahead of yourself. The whole thing looks huge, but each piece is doable. Remember you have plenty of people to help, you just need to ask.

Who am I and what am I doing?

Overview
As the Main Evangelizer, you are a proclaimer of the Good News on the retreat; a living witness of Jesus Christ in your life. In addition to this role, you are to be a caring presence to all who are living the retreat and empathetic to people who may need a listening ear or help in any way. Because you are not tied to one group, you can be aware of the group as a whole and at breaks or at meals be on the look-out for people who may be standing alone or appear a little shy or isolated in any way. Make every effort to put them at ease and strike up a comfortable conversation. Try to get to know as many of the retreatants as you can so that they feel welcome and connected.

Prayer Warrior
You will also serve as a silent prayer warrior as each presenter gives their talks. As they are speaking, please ask the Lord to bless and anoint their thoughts and words so that only God’s message will come through. Ask God to give the retreatants soft, open hearts so that the Gospel will fall on “fertile soil” and change their lives. Our prayer is that each evangelizer will be able to be a calm, open vessel for the Lord to use in a powerful way to say just what He wants the evangelizer to say.

Surrender & Trust
While the retreatants are in their small groups and if everything is prepared for the next part of the retreat you might want to spend a moment in front of the Blessed Sacrament to prepare your own heart for the talks that you will give. God was with you as you were preparing and writing the talk, and He will be with you, in you and move through you as you give it. Bring all that you have done and will do to present the Gospel in a clear, sincere way, to Jesus in the Blessed Sacrament, and lay it at His feet. He will inhabit the work of your hands and bring good fruit from it. Once you have turned it over to Jesus, take some time to review your notes and know that you are prepared. After you have given your talk, thank God for what He will do with the seeds that He has planted with your help. That part is truly up to Him. When people are thanking you and praising your talk, you can receive their kind words and offer them back to the Lord who is the true author of the work that we do in His name.

Support for Team
You can also be on the lookout for any other team members that may need your help in the times where the retreatants are in their small groups, such as the Service Coordinator, Hospitality Coordinator or Chapel Coordinator. The retreat will run most smooth when we all act as one body.

Team Meetings
The Main Evangelizer is also responsible for facilitating team meetings in the morning before the retreat begins, at lunch break and at the end of each day if necessary.

24 Weeks Prior

One of the most important parts of this retreat is prayer, prayer and more prayer. Prayer is the strong foundation upon which this entire evangelization process is built and cannot be stressed enough. Fortunately, in our Catholic faith we have an arsenal of prayer choices -- Mass, rosary, novenas, fasting, adoration, etc. -- to draw from.

20 Weeks Prior

Discern team

Retreat Coordinator and Main Evangelizer meet to discern the Team. First, pray over a list of past retreatants, highlighting those they believe the Holy Spirit is calling to mind. Roles include Evangelizers (3), Shepherds (6-10), Service (1), Chapel (1), Hospitality (1-4), Music (1-2). Be sure to discern extra candidates in case some of them say "no."

Also, be sure to receive your Pastor's approval of the list. Make sure the Pastor also approves the extra candidates in case some of your first choices say "no."

16 Weeks Prior

Be aware of Team meeting dates and locations

The Retreat Coordinator should have already secured these.

  • Team Meeting #1 - 4 weeks prior to retreat
  • Team Meeting #2 - 3 weeks prior to retreat
  • Team Meeting #3 - 2 weeks prior to retreat
  • Adoration Hour (optional) - week of retreat

Discern talk assignments and priest roles

Once the Retreat Coordinator and Main Evangelizer have recruited three additional Evangelizers -- even if the rest of your Team hasn't been assembled yet -- discern talk assignments together. Recruit priests for various jobs during the retreat (i.e. talks, confessions, adoration, etc.).

Ask the Team candidates to join us on this retreat.

Send Team list to Retreat Coordinator

Include names and email addresses. This list will enable the Retreat Coordinator to send a team welcome letter from both of you.

12 Weeks Prior

Get ready for Evangelizer meeting

Retreat Coordinator should prepare four binders to give to each of the Evangelizers and the Main Evangelizer. They will keep these and add to them for the duration of the planning process. Retreat Coordinator also makes copies of the handouts (see below or in agenda) and three-hole punch them. Main Evangelizer will lead the meeting.

Hold Evangelizer meeting

As soon as the Retreat Coordinator and Main Evangelizer have successfully recruited three additional Evangelizers, hold an Evangelizer meeting, led by the Main Evangelizer. You don't have to wait until the rest of your Team is recruited. Hold this meeting as soon as possible once you have your three additional Evangelizers. This allows your Evangelizers plenty of time to write their talks.

The Retreat Coordinator will be updating the retreat schedule. Feel free to review it, if you'd like.

8 Weeks Prior

4 Weeks Prior

Prepare and hold Team Meeting #1

Retreat Coordinator will bring enough binders to give to each of the Team members. They will keep these and add to them for the duration of the planning process. Retreat Coordinator will also make copies of the handouts (see below or in agenda) and three-hole punch them. The Main Evangelizer leads this and all Team meetings.

3 Weeks Prior

Coordinate with your Teams

Talk to each of your teams (Music, Hospitality, Chapel & Service) about their roles, supplies, etc. Work out all the details and answer all their questions.

Prepare and hold Team Meeting #2

Retreat Coordinator will make copies of the handouts (see below or in agenda) and three-hole punch them. The Main Evangelizer leads this and all Team meetings.

2 Weeks Prior

Prepare and hold Team Meeting #3

Retreat Coordinator will make copies of the handouts (see below or in agenda) and three-hole punch them. The Main Evangelizer leads this and all Team meetings.

1 Week Prior

Hold Team adoration hour (optional)

During Retreat Weekend

Don't forget donations!

Remember to ask the retreatants to donate to Light of the World Evangelization Ministries, the national organization. This ministry can only continue with the generous support of its participants. This should be done at the end of the retreat, as indicated in the Retreat Schedule. The donation handout is a double-sided handout that tells retreatants who we are, and gives them easy ways to donate.

Don't forget testimonies!

Remember to ask the retreatants for their testimonies on Monday by giving them the Testimony Handout. This way we can keep fresh testimonies on our website.

Take group photo and share on social media

On the last day of the retreat, gather up the retreatants and retreat team for a group photo. Of course, you'll want to ask for their permission first. Then post the photo on your parish's social media platforms (i.e. Facebook, Instagram, Twitter, etc.) using the hashtag #lightoftheworldretreat with each of the posts.

Posting the photo is a small opportunity to evangelize, for others to see the faces of the real-life people whose lives have been transformed by Christ, to generate excitement in your parish, and to help get the word out about Light of the World and share it with other parishes.

After Retreat Weekend
